Activating and Retiring an Assessment

An Assessment may have one of three Assessment Statuses at any time after creation.

Note: Assessments can be Activated, Deactivated and Retired in bulk from the Bulk Change Assessment Status panel in the side menu of the Assessments tab.

Non-Active

Immediately after creation, Adaptive, Non-Adaptive and Snapshot Reading, Numeracy and Vocabulary Assessments have a status of Non Active. This means that they can be seen and worked with by authorised Educators and Administrators, but that Learners who have been assigned to these Assessments cannot begin taking them.

Active

All Non-Adaptive for Printing and Writing Assessments are automatically assigned an Active status on creation. All other Assessments will, after being readied for use by the Educator or Organisation Administrator, need to be changed to Active. You can do this in one of two ways.

To Activate an Assessment from the Home tab:

  1. Select the Activate link next to the Assessment name.

To Activate an Assessment from the Assessment details page:

  1. View the Assessment details by selecting the Assessment name from your Home tab or the Assessments tab.
  2. Select the Activate link in the Assessment Status panel in the side menu.
  3. A confirmation message will show stating that The Assessment status has been changed to 'Active'.

Retired

Twenty-six weeks after being created an Assessment will automatically have its status changed to Retired (this time period is only eight weeks in the case of Non-adaptive and Non-adaptive for Printing Assessments). This means that it is removed from the Home tab of any Educators that are assigned to it, and that no more Learners can sit it (on logging in with a previously issued Assessment Code, they will be told that the Assessment is not available). It is also possible to manually retire an Assessment, although the only benefit of this is to have it not show on the Educator's Home tab. The reason for this functionality is that occasionally, for system wide administrative purposes, it may be necessary for an administrator to manually retire an Assessment so that there is no chance that any Learners will take it in the future.

To manually retire an Assessment:

  1. View the Assessment details by selecting the Assessment name from your Home tab or the Assessments tab.
  2. Select the Retire Assessment link at the bottom of the Retire Assessment panel in the side menu.
  3. You will be prompted with a popup window asking "Are you sure you want to retire this Assessment?". Select OK to continue and retire the Assessment, Cancel to exit without retiring the Assessment.
  4. If you select OK, the Assessment Tool will confirm that the Assessment has been retired.
